Practical Information

Registration
All participants are requested to register prior to the festival, in order that security badges can be prepared.  Please note that participants to Science on Stage have been selected by National Steering Committees, on the basis of their contributions.  Visitors may only attend the festival during the Open Afternoon on Thursday 24th November 2005 and they must also register in advance.  The deadline for registration is Friday 21 October – after this date, hotel reservations can no longer be guaranteed.

Travel Arrangements
Participants should plan to arrive on Sunday 20th November and depart on Friday 25th November.  Please consult this page for instructions on how to get to CERN.  There are also some useful maps: a map of CERN and its buildings and a map of Geneva.

Upon registration at CERN, all Science on Stage participants (both delegates and non-delegates) will receive a pass to freely use the Geneva public transport service (TPG). The bus which stops outside CERN is the number 9.

Travel Reimbursements
Those who have been selected by their NSC as official delegates will receive a reimbursement of their travel expenses from the organisers.  Only the following documented travel costs will be reimbursed:
1) Travel to the home airport or train station (bus, train or taxi)
2) Return flight between the home airport and Geneva airport (economy fare)

OR return train between the home train station and Geneva airport train station (economy fare)

Alternatively:
3) Travel from the home city to CERN by private car at a rate of 0.40 euro per km

Upon arrival at Geneva airport or Geneva airport train station, there will be shuttle buses to the delegate hotels.  CERN is easily accessible from the hotels by bus – Geneva taxi fares  will therefore not be reimbursed.  A number of people will stay in the CERN hostel – for these people ONLY, a taxi fare from the airport / airport train station to CERN will be reimbursed.

Please bring photocopies of all tickets and receipts with you, to speed up the reimbursement process. Payments will be made to the individual's bank account within 2 weeks of the festival (please bring your "International Bank Account Number" [IBAN] and the "Bank Identification Code" [BIC] ). Only in exceptional cases reimbursement payment in cash will be made during the festival. In such cases, please send us an email prior to your arrival.

Accommodation
Science on Stage participants will be accommodated in various hotels in the Geneva region and in the CERN hostel.  Travel between CERN and the hotels will be by public transport or by specially-arranged shuttle.  Most hotels are within walking distance of bus stops for the Geneva public transport service (TPG) and all participants will receive a free pass for this service upon registration at the festival.

Delegates will be informed about their allocated accommodation after completing the online registration.  Accommodation will be provided for the nights of Sunday 20th November to Thursday 24th November inclusive.  Those wishing to stay for the night of Friday 25th November and subsequent nights may extend their reservations at their own cost.

In the case that flight tickets are much cheaper when a Saturday night is included, the organisers will also provide accommodation for delegates on the night of Saturday 19th November.  Please inform the organisers as soon as possible if this applies to you. Non-delegates and guests may request accommodation during the online registration if they wish, or they may make their own arrangements. Please note that any hotel reservation made for non-delegates is at the participant's own expense.

Meals
Breakfast – will be provided by the hotels.
Lunch – picnic-style lunches, tea and coffee will be provided, free of charge, near the fair area every lunchtime. In addition, a wide variety of hot and cold food is available to buy in the CERN restaurant. An average meal in the restaurant costs 10-15 Swiss Francs (= 7-10 Euros).
Dinner – is at the participant’s own expense.  People will be free to travel into nearby towns in the evenings - transport information and maps will be provided. Two evening meals will be provided by the organisers: a buffet at the Welcome Reception on Tuesday 22nd November and a Farewell Dinner on Thursday 24th November.

Other information
MONEY: You will be able to change money in the UBS Bank next to the CERN restaurant.  The opening hours are 08:30-16:30 (Monday to Friday).  ATM machines are accessible for cash withdrawal 24 hours a day. The currency used in Switzerland is Swiss Francs.
TELEPHONE: There is a public, coin-operated telephone in the CERN Main Building, close to the tent and the auditorium. Messages can be left for participants with the Conference Secretariat (telephone number to be communicated later on).
EMAIL: Participants will have access to the internet throughout the festival, so internet-based email can be used.  There will be a wireless network in the fair area which can be accessed via personal laptops.  There will also be a number of PCs in the fair area reserved for email access.
SOUVENIRS: The CERN reception sells a variety of CERN merchandise. Opening hours are 08:00-18:00 (Monday to Saturday).
CERN Kiosk and POST OFFICE: Postcards, magazines, snacks and chocolates can be bought in the CERN Kiosk. Opening hours are 07:00-17:30 (Monday to Friday).  The Post Office is open from 08:30-13:00 and 13:45-16:30 (Monday to Friday).
TRAVEL OFFICE: The CERN Travel Office, Wagonlit, is available for booking and changing travel tickets and making hotel reservations.  Opening hours are 08:30-16:30 (Monday to Friday).
