Project Catalogue

Introduction

The aim of creating a project catalogue is to give an overview of existing projects within the IT Department.

Organisation

The Project Catalogue is organised in the following way:

  • Active projects: the catalogue of active projects contains information of ongoing projects for the current year.
  • Closed projects: historic information of finished projects is kept on a different catalogue.

Active Projects

The catalogue of active projects contains the current status of ongoing projects:

  • Project Code: internal code used by the Project Office
  • Project Name: name of the project
  • Project Manager Name: name of the project manager
  • Project Manager Group: group of the project manager
  • FTEs: number of FTEs per group and in total
  • Duration: total duration of the project in months
  • Start Date: start date of the project
  • End Date: end date of the project
  • Total budget: overall total budget of the project, including FTEs and materials.

Closed Projects

The catalogue of closed projects contains historic data about past projects:

  • Project Code: internal code used by the Project Office
  • Project Name: name of the project
  • Project Manager Name: name of the project manager
  • Project Manager Group: group of the project manager
  • Planned FTEs: total planned number of FTEs per group and in total
  • Effective FTEs: total effective number of FTEs per group and in total
  • Start Date: start date of the project
  • Planned Duration: total planned duration of the project in months
  • Effective Duration: total effective duration of the project in months
  • Planned budget: overall total planned budget of the project, including FTEs and materials.
  • Effective budget: overall total effective budget of the project, including FTEs and materials.

Open questions/comments

  • How are cross-group projects represented? They are represented by the involved number of FTEs.
  • Budget should include manpower and materials. Follow up question: Should we split materials and manpower budgets? How is manpower budget calculated? Do we need to track contract type? STAF? FELL? TECH? Ideally, the budget should take into account any production service consumed for which it is hoped the service costing material can eventually be used.
