How to set up the fixed station

How to set up the audio, video

  1. Install the power extension cord to one the swiss plug on the left closer corner (close to the animated map) and put it close to the table
  2. Unroll the Ethernet cable from the corner (left side) to the table.
  3. Place the two small power extender cord and plug in the big extension cord. The longer strip goes on the table the small one to the small table for the feed back computer for the guide.
  4. Install the tripod support for the video camera and install the video camera on it
  5. Remove the covers of the audio box and move it to its place.
  6. Connect the video camera to the audio box (LV white cable)
  7. Put the controller of the video camera on the table and connect the cable between the controller and video camera.
  8. Connect the controller to the audio box (LV white cable)
  9. Connect the power cable of the audio box, plug it in the big extension cord.
  10. Switch On the box (check the power supply light on the front) and switch off that microphone receiver what you don't use (right one).
  11. Switch On the in-ear monitoring controller (below the microphone receivers)
  12. Switch On the mixer table
  13. Install the goose-neck microphone on the mixer table (that microphone where you can talk to the guides only)
  14. Put the main computer on the table (install its charger and plug it in the power cord)
  15. Install the USB cable between the computer and the audio box - B-type (you need a small USB adapter from the grey box)
  16. Install the USB cable between the computer and the video camera.
  17. Plug in the Ethernet adapter to the computer and connect the Ethernet cable
  18. Put a paper tape on these cable and fix them on the table (in order to avoid the accidental disconnection)
  19. Put together the in-ear monitoring units (as many as many guide will be on the plug). Monitoring receiver and an earphone. Install batteries and switch them on. If the battery level is too low (one bar only) install a fresh batteries then trash the old batteries (battery collector is in the control room building close to the coffee machines)
  20. Install the batteries in the wireless microphone. If the battery level is too low (one bar only) install fresh batteries and trash the old batteries (battery collector is in the control room building close to the coffee machines)
  21. Put the iPad on the table (install its charger and plug it in the power cord) and install the audio cable between the iPad and the mixer table.
  22. Plug your earphone to the mixer table.
  23. Install the battery in the laser pointer.
  24. Hardware settings done.

Notes:

  • in-ear monitoring receivers, headphones, paper tape, laser pointer, batteries, wireless microphone, audio cables, adapters are in the grey box
  • audio box contains microphone receivers, in-ear monitoring, LV power supply, audio mixer table, 1U patch board on the back for the power supply, 1U patch board on the back for the audio card
  • black peli box contains the PTZ camera, camera controller, their cables (two white LV cable and the blue USB cable)
  • the tripod is in its own bag top of the audio box and the power extension cords and the goose-neck microphone are also on the audio box

How to set up the main computer

after you put the hardware together you have to do the followings:

  1. Disable the wifi of the computer.
  2. Start the vidyo (you will find a vidyo icon on the computer) and do not log in
  3. Open a Finder and open the start insert pdf file (filename: VVStratInsert2.pdf )
  4. Start a Firefox web browser
  5. Go to the indico page of the virtual visit (You will find it in the bookmarks virtual visit, or https://indico.cern.ch/category/5975/)
  6. Select the page of the actual virtual visit.
  7. Then go to videoconference rooms (left side)
  8. Click on Join button
  9. You will find a welcome page (write CMS surface as a name) then click a Join button again
  10. You are in the vidyo room. Don't forget to allow microphone, speaker and start sharing the start insert file. Mute the video.
  11. Set the presets of the video camera in the video controller. In order to do it, you have to allow self view in vidyo.
  12. After 1 minutes, when the visit and the recording starts, stop sharing and allow the video camera.

How to set feed-back iPad

  1. Connect the iPad audio to the audio box
  2. Start vidyo
  3. Log-in with your NICE username and password
  4. Connect to the virtual visit vidyo room (CMS_Virtual_Visit)
  5. Mute microphone and video. Do not mute the audio.

How to set feed-back computer for the guide (guide brings own computer)

  1. Start a web browser
  2. Go to the indico page of the virtual visit (https://indico.cern.ch/category/5975/)
  3. Select the page of the actual virtual visit.
  4. Then go to videoconference rooms (left side)
  5. Click on Join button
  6. You will find a welcome page (write CMS experiment as a name) then click a Join button again
  7. Mute microphone, speaker, video

How to set up the mobile station

How to set up the mobile unit hardware

  1. Screw in the mobile phone holder on the one leg
  2. Put the mobile phone in the mobile phone holder (preferably the volume settings button are on the top)
  3. Plug in the Y audio cable in the audio hole of the phone. (an audio divider installed on the green and a custom black-red wire added to the pink)
  4. Plug in the Y cable the earphones (speaker - green, microphone - pink)

How to start the vidyo on mobile unit

  1. Start the Internet browser (bottom down icon)
  2. Go to the indico page of the virtual visit (https://indico.cern.ch/category/5975/)
  3. Select the page of the actual virtual visit.
  4. Then go to videoconference rooms (left side)
  5. Click on Join button
  6. You will find a welcome page (write CMS mobile as a name) then click a Join button again
  7. As default the video, microphone will be muted. Don't forget to allow them, when you want to show something.

Note: You have to switch between wifi and mobile data communication of the phone depends where you are. You have to allow only one of them at the time, otherwise the phone will switch automatically between the two and it would couse problem with the connection. You can reach these in the quick settings menu of the phone, by swipe down your finger from the top of the screen.

Wifi and mobile data receptions:

  • SX5 plug - use wifi
  • Peter Sharp room - use wifi
  • CMS mockup, LHC ares in SDX5 - use wifi (but sometime the mobile data is better)
  • CMS control room - use wifi
  • outside building - use mobile data
  • PM54 elevator and USC - use mobile data (sometime mobile data is bad on the surface at the elevator, in this case use wifi on that level)
