ECR

Click PS Complex Baseline and then select all ECRs in the menu on the left side. There you can sort/filter by machine, foreseen/past installation period etc.

All currently documented ECRs should be there although maybe the status column (new, under app etc.) for 1 or 2 is not updated. The list doesn't include all foreseen changes in the machine... only those where we have at least draft documentation.

Useful Commands

  • Search in GMAIL for unread emails in the primary inbox only: in:inbox -category:(updates OR promotions OR social OR forums) is:unread or in:inbox -category:(promotions OR social) is:unread

Dear colleagues,

         You are invited to the next LIU-PSB Working Group meeting, which will be held on Thursday, DAY MONTH 2014 at 10h30 in 864-1-C02.
It is very important for ALL the work-package holders to please attend the meeting or send a replacement in case.

EDMS: LIU-PSB Documentation

Document Handling in the LIU-PSB Project:

  • The access rights allow all the project members to create documents.
  • Any project member can put documents through an ‘engineering check’ process.
  • A decision is made as to whether a document is long term or not by the Project Management.
  • All long term documents must undergo a formal approval (‘under approval’) before ‘release’. The approval process is handled by a restricted group.
  • First point of contact is G.P. Di Giovanni (digiovan@cernNOSPAMPLEASE.ch) and/or Cecile Noels (Cecile.Noels@cernNOSPAMPLEASE.ch).

Step-by-step Instruction on How to Create a Document for the LIU-PSB Project:

From First Draft (v0.1) to "Eng. Check" or "Under Approval"

  • The context has to be changed to PSB-Baseline
  • Make sure the version is 0.1 and not the default 1.0
  • In the HEADER:
    • DOCUMENT CHECKED BY has to be changed to DOCUMENT TO BE CHECKED BY
    • DOCUMENT APPROVED BY has to be changed to DOCUMENT TO BE APPROVED BY
  • Put K. Hanke under "DOCUMENT TO BE APPROVED BY" in bold gray
  • Edit the word document:
    • Make sure about the date (today, the day of publishing the new document)
    • Make sure about the history is updated
    • Make sure the table of content is updated (click right on it and select "Update Fields")
    • Make sure the version is right and the name of the document follows the versioning
    • Set every name in the first page in black, but for the person in charge to approve it. For the latter set its color to gray
  • Set it to Eng. Check or Under Approval
    • You will be asked to whom to send it:
      • for sure the LIU-PSB-WP-Holder mailing list
      • Any other person the author may think is important
    • If you need to send the document for information only, use the "Share" button in EDMS 6.

From "Eng. Check" to "Released"

  • It cannot happen in one shot. The steps are:
    • First Eng check closed and then Cancel the document
    • After that set the new document Under approval
    • Only if it is formally approved, set it to Approval accepted and Released
List of things to do:

    • Stop the approval: Approval & CommentsStop ProcessApproval Closed
    • Create a new version: SummaryNew Version:
      • Edit, in particular make sure the version is 1.0
      • Put the files, generally .doc and .pdf
    • Released the approved document: Approval & CommentsChange StatusReleased
    • Optional, Notify mailing list (if relevant or not in the initial list): SummaryNotify

    • Once the new EDMS document is created, upload the documents
    • Standard comment for approval is "Enough comments have been given to reach approval"
